Example Price Check report

This is an example. The quote, the provider and the customer are made up to show you the format. The benchmark figures are real: published UK prices, data checked 21 October – 2 November 2026. Your report is written about your own quote.

1. The short answer

£68 per user per month is above typical for the Midlands. Published per-user prices from Midlands providers have a typical range of £35 to £64.50 and a median of £50 (n=25). This quote sits just above that range. That does not make it a bad quote, but it means you should ask what the extra buys you before signing.

2. What the quote contains

Example customer: 25 users, based in the Midlands, monthly price £1,700 excluding VAT.

LinePriceUnit
Managed support: helpdesk 8am–6pm, remote support, patching, antivirus, monitoring£52per user
Microsoft 365 management (licences billed separately)£6per user

Also in the quote: one onsite visit a month included, out-of-hours support at £95 an hour, a £1,500 onboarding fee, a 36-month minimum term, 90 days’ notice, automatic 12-month renewal and an annual price rise of CPI plus 3%.

3. How each part compares

4. Terms worth questioning

5. Questions to send the provider

  1. Can Microsoft 365 backup be included in the per-user price, or reduced?
  2. Will you cap out-of-hours charges, or include urgent calls?
  3. Will you accept a 24-month term without automatic renewal?
  4. Can the annual rise be capped at CPI?
  5. What happens to our data, passwords and admin access if we leave?

A Price Check covers sections 1 to 3 and the questions. A Contract Review adds section 4, a full read of the contract terms. Reports compare your quote with published prices. They are not legal or financial advice and do not recommend a provider.
